Marketing and Planning for Large Events

Large events will likely be statewide events, such as Walk Across Arkansas, virtual field days, or events that include topics relevant to all Arkansans (ballot issue education, etc). With large-scale events, it is important to start reaching the community early to get a larger crowd. Start promoting at least 90 days before the event.

  • Make sure to create a Facebook event and post updates in the discussion regularly to keep the algorithm focused on the event
  • Start marketing your event 90 days out. Details may be limited but give as many details as possible and at least include a date. You can always update it later.
  • Repost the intro announcement again a week after.
  • When you have all the information for the event, send out a Save the Date.
  • Starting around 60 days out, post the registration link or announce when it will be going live
  • Make a list of groups you can get involved or invite to the event as potential attendees:
    • Large groups, clubs, schools, etc.
  • From 60 days out, post about the event once a week.
    • What should you post?
      • Infographic with information about it
      • The link for registration
      • Behind-the-scenes info and images about creating the event
      • Any info that is needed for the event
  • 30 days out start posting 2 days a week
    • What to post?
      • Proposed schedule
      • map to the location
      • link the registration
      • Special speakers or topics
      • Deadlines for registration
      • Guest/additional attendee options (if any)
      • Videos of someone talking about the event or reviews from people who have participated before, and testimonies
  • 2 weeks out post M, W, F.
  • Post on Facebook and Instagram stories and start pushing for last-minute entries.
  • Have a live video or make a post for people to ask any questions. Encourage engagement!
  • 1 week before the event:
    • post pictures videos of the setup process every day
    • last-minute updates, directions, FAQ
  • The day before the event, post any info that is needed, reminders, etc. Do not worry you are posting too much. Social media algorithms don’t show all your posts to your followers.
  • Encourage shares and invites for the event.
  • On the day of, make a live post of actions throughout the event.
    • If possible, assign someone to make the live post
